How Does The Dosimetry Service Work?

How the Apex Dosimetry Service works:

  • Medray offers a variety of badge frequencies (monthly, bi-monthly or quarterly). An RPA can advise you which frequency is needed for your needs.
  • Once your RPA confirms which frequency you need, please ensure this frequency is chosen when completing the Dosimetry Service Application Form.
  • Dosimeters are made to order so badges are generally sent by Medray 1-2 weeks after the Application Form is processed. This lead time may vary.
  • Each delivery comes with an additional ‘Control Badge’ which should be stored in a neutral area for the duration of the wear period.
  • At the end of each wear period, a new set of badges will be issued for the next wear period which should be swapped out onsite.
  • The previous wear period should be returned (using pre-addressed envelope provided) as soon as the next wear period badges are received. 
  • Please ensure the corresponding ‘Control Badge’ is enclosed with your badges when shipping as it is used to determine transit dose.
  • If this is not returned along with the badges, the reported doses for this period may be highly inaccurate due to transit dose.
  • Once badges are received by the supplier, they go through the dose analysis process and reports are then posted to your badge management account.
  • Please note the supplier allows 90 days for all badges and control badges to be returned. After 90 days, the supplier will incur a late/non-return fee for each badge not returned. This charge is non-refundable.
  • Each customer is provided with free online access to their badge management account. This portal is www.amp.instadose.com, where you can access reports, add wearers and badges and remove also.
  • Instructions for adding/cancelling badges and accessing your reports are all given upon set-up. Please also see User Guides section of our website for these guides. 
  • This service automatically renews unless Medray receives a request to cancel from the customer via email to dosimetry.irl@medraygroup.com.
  • If cancelling, please note that badges are manufactured 4-6 weeks in advance so you may still receive 1-2 batches of badges if cancelled too late.  

 

How the Instadose Dosimetry Service works:

  • Dosimeters are made to order so badges are generally sent by Medray 1-2 weeks after the Application Form is processed. This lead time may vary.
  • Upon receipt, badges must be activated by the customer. If not activated, the badge should be worn/used for any reason as it will not retrieve doses. 
  • Upon set up, each customer will receive login details for their badge management account via www.amp.instadose.com and instructions for activate and general use.  
  • Once each badge is activated, the badge(s) can be worn/used by their assigned wearer(s). Please ensure badges are only worn by the assigned wearer. If reassigning badges to new wearers, please ensure this process is completed via your account before badges are given to new staff. 
  • Instructions for reassigning, adding new badges and cancelling are all given upon set-up. Please also see User Guides section of our website for these guides. 
  • After activation, all badges MUST be read on a monthly basis thereafter. Failure to do so will result in faulty badges and possibly false readings. 
  • Mirion Technologies will issue a reminder email 30 days after each reading to ensure wearers' readings are updated on a monthly basis. 
  • If badges become faulty from lack of readings, there may be a fee incurred for disuse and not managing the badges as per the instructions. 
  • If badges are managed properly but become faulty through no fault, please contact dosimetry.irl@medraygroup.com for a replacement badge. 
  • Reports for each wearer can be accessed free of charge through your badge management account. This portal is www.amp.instadose.com
  • Please note for GDPR reasons, Medray cannot issue or disclose information regarding your wearers' reports. They must be accessed directly.
  • If you wish to cancel the service at any point or specific badges, please contact dosimetry.irl@medraygroup.com and return the badges to Medray (address below).
  • Return Address: FAO: Dosimetry Team, Medray Imaging Systems, Unit 2B South West Business Park, Cheeverstown, Dublin 24, D24 NC8Y. 
  • This service automatically renews each year unless Medray receives a request to cancel from the customer. If cancelling, please do so before year end and notify Medray via email. 
  • An annual invoice is issued to each customer based on the quantity of active badges. Notification of this will be sent before year end for the upcoming year.  
  • If badges are returned for cancellation mid year, there is no refund issued as the badges have been charged basis on an annual registration.
